Terms & Conditions

Privacy Policy:  Herolds Bay Accommodation respects the privacy of their guests and will not give out any personal information gathered to any third party.

On arrival:  When in Herolds Bay, guests are to report to Beans & Basil (on your right as you enter Herolds Bay on the R404, 109 Skimmelkrans Road). Trading hours 08:00-18:00. Keys are to be collected/dropped off within these hours. Special arrangements can be made for after hour collection. 

Arrival time 14:00 – 18:00, Departure time 10:00am strictly

Rules:  Tenants/guests are to adhere to each establishment’s rules and regulations as explained on arrival or in guest manual.

Breakage deposit:  A breakage deposit will be payable on arrival as laid out in your quote. Any breakages or damages will be deducted from the deposit amount and refunded within 30 days of vacating the premises. Should these breakages or damages exceed the deposit amount; the tenant/guest will be billed accordingly. It is the responsibility of the tenant/guest to make sure that we receive banking details for the above mentioned refund

Cleaning Services:  For units where cleaning services are not included, we will supply you with the contact details of a cleaning company. The account is to be settled between the guest and the cleaning service directly

Confirmation deposit:  Bookings will only be confirmed once a deposit of 50% has been paid. The signed reservation form should accompany the proof of payment and reach us on or before the specific booking expiry date, to avoid automatic cancellation please adhere to this arrangement. Bookings made in the same week of stay will be charged in full upon making the reservation

Outstanding amount:  The remainder of the 50% plus the breakage deposit as well as any additional arranged facilities/services is payable in the week before arrival. Please make sure you have the right payment method (or proof thereof) ready as we do not accept any credit card or cheque payments and may only give out keys once the full amount has been settled.

Cancellation Policy: Should a confirmed booking be cancelled the 50% deposit will not be refunded unless another guest is found to fill the reservation. Cancellation of the booking will only be accepted in writing one month prior to arrival from the guest for the period booked for. Cancellation 0 – 30 days before date of arrival – full deposit paid is forfeited. Cancellation on arrival or during stay – full payment due. Cancellation due to premature departure – no refund.

Pets:  Pets are under no circumstances allowed on the premises.

Indemnity:  Neither the Lessor / Herolds Bay Accommodation nor Beans & Basil will be held liable for any loss or damage of  property, injury, loss of life or any other claim arising from any accident suffered by the Tenant, his family or guests.

Inventory: A detailed inventory exists and should be checked by the tenant at time of taking occupation and discrepancies reported to Heidi Scheepers within 24 hours.

Towels:  Please bring own beach and bath towels.

Supervision:  Adults must supervise their young children at all times.

TV/DSTV:  TV/DSTV is not available in all apartments please enquire on date of booking if TV/DSTV is available or if a DSTV smart card is required.

The tenant is reminded that upon acceptance of this offer and payment of the deposit, a binding contract is completed whether he/she occupies the unit or not.

Herolds Bay Accommodation reserve the right in the event of unforeseen circumstances to cancel accommodation arrangements made with the tenant on behalf of the Lessor. In such an event all the money’s paid by the tenant will be refunded and shall constitute the full extend of liability of the Lessor and Herolds Bay Accommodation to the tenant.
